Frequently Asked Questions
Policy/Enrollment Questions – General
Q. Who do I contact if I have policy questions or questions about the training content?
a. Each training module includes contact information for questions regarding policy or the content contained in the module.
b. Additionally, you can contact the Center for Learning & Professional Development with questions about training requirements. Call 575-646-7444 or e-mail email@example.com.
Q. Do I need to complete the training? I’m about to retire? I’m a student? I’m a temporary employee?
a. Compliance training is mandatory for all employees employed today regardless of hours worked or future termination date.
b. Compliance training is required for student employees (this includes Graduate Assistants, Teaching Assistants, and other student workers like student aides).
Q. I’m a new employee. When will I be enrolled in the compliance training?
a. New employees will have their Training Central accounts activated overnight after their first day of work (assuming Banner employment record is complete and NMSU email account has been set up). You will be enrolled in the appropriate compliance training certification(s) the following night (3rd day of work). You will receive an email notification from Training Central with instructions for completing the compliance training.
Q. I’ve taken training on these subjects in the past. Do I still need to complete the new modules?
a. Yes; compliance training is required annually for all employees. We appreciate you taking the time to complete the training in the past and hope that this refresher will help reinforce what you previously learned. Some modules may contain a pre-test that allows you to by-pass the module content if you pass the pre-test. Due to compliance regulations and risk to NMSU for non-compliance, not all modules will contain this option.
Q. What happens if I don’t complete the training by the deadline?
a. A list of non-compliant individuals will go to supervisors and the Provost and Chancellor. They will determine appropriate action. Compliance training is a condition of employment in accordance with NMSU ARP 6.89.
Q. I am on approved leave (FMLA, Sabbatical, Military, etc). Do I need to take the compliance training?
a. We can’t waive the requirement for compliance training – all NMSU employees are required to complete annual compliance training in accordance with NMSU ARP 6.89. However, those on approved, long-term leave (FMLA, Sabbatical, Military, etc) will not be required to complete the training until they return to work. The Training Central system does not have a mechanism for granting extensions to mandatory training so employees and managers will continue to receive notifications regarding compliance training. Managers should notify firstname.lastname@example.org of anyone on approved leave so notes can be added to the employee’s training record. Note: this does not apply to those on annual or sick leave.
Q. What notifications will I receive?
a. The following notifications will be sent via Training Central related to the Annual Compliance Certification.
- Upon enrollment in certification (employee only)
- 2 weeks prior to deadline (employee & manager)
- Marked as overdue (day 60) (employee & manager)
- Upon completion (employee & manager)
b. The following notifications will be sent via Training Central related to the Onboarding Compliance Certification.
- Upon enrollment in certification (employee only)
- 1 week prior to deadline (employee & manager)
- Marked as overdue (day 14) (employee & manager)
- Upon completion (employee & manager)
c. Monthly reports showing the status of all employees enrolled in compliance training are distributed to all summary organizations on or about the 15th of each month.
Q. Why do new employees have to do 2 compliance certifications?
a. The Annual Compliance Certification covers specific compliance topics and changes each year based on University needs, State & Federal regulations, and trending data. In addition to these topics, there is general compliance information that new employees need to know when they begin work with NMSU. The Onboarding Compliance Certification allows new employees to hit the ground running without the need for existing employees to repeat general information each year.
Q. Do returning employees have to take the Onboarding Compliance Certification?
a. No. Employees who previously worked for NMSU and have a break in service do not need to complete the Onboarding Compliance Certification. They will be enrolled in the Annual Compliance Training when they return to work if they have not previously completed the current year’s training (note: the Annual Compliance Training year runs Oct – Aug).
Q. Does the Onboarding Compliance Certification apply to students, temporary employees, and GA’s?
a. Yes. Just like the Annual Compliance Certification, every employee who receives a paycheck from NMSU must complete compliance training.
Q. Why are employees who are hired after August 15th not enrolled in the Annual Compliance Training?
a. The Annual Compliance Training Certification year runs from October to August. Employees hired within 2 months of the upcoming Annual Compliance Training rollout (Aug – Oct) are not enrolled in the current year Annual Compliance Certification to prevent them from being enrolled in 2 annual training certifications at the same time and to allow time for the updating and implementation of the upcoming Annual compliance training modules. New employees will be enrolled in the Onboarding Compliance Training Certification year-round with no black-out dates.
NOTE: Google Chrome and Microsoft Edge are not supported browsers and should not be used to complete online training through Training Central.
